Abstract submission in dashboard

Abstract submission inside the participant dashboard

This is a model for the content that lives inside the participant Abstract tab. It does not recreate the whole dashboard shell. It focuses only on the module where an eligible participant sees abstract slots, completes the form and follows the scientific workflow.

Abstractele mele

Acesta este punctul in care utilizatorul intelege imediat cate abstracte poate gestiona in cont si ce status are fiecare.

My abstracts

This is the place where the participant immediately understands how many abstracts can be managed from the account and what the status of each one is.

Abstract 01

Draft record

Draft
Emergency Medicine Original Research Last saved 11 Mar 2026, 12:40

This record belongs to the user as first author and presenting author. It can still be edited before submission.

Quota still available First or presenting author

Recommended rule: maximum 2 abstracts as first or presenting author, with additional appearances controlled separately at the author-role level.

The abstract form inside the dashboard tab

Only the fields required by the scientific workflow live here. General participant profile data stays in the main profile and should not be duplicated inside the abstract form.

1. Scientific classification

This block decides routing, reviewer expectations and the final presentation logic.

submission_language English only
final_format_assignment Assigned later by Scientific Committee
Original Research si Review Article intra in acelasi formular structurat.
Original Research and Review Article share the same structured body. The final format may later be assigned as Oral Presentation or Digital Poster.
Case Report foloseste o structura separata.
Case Report uses a dedicated structure. For the current workflow, this type should be handled as a poster-oriented track.

2. Authors and affiliations

The scientific side needs author order, exact role, affiliation and at least one reliable contact point. The platform should store people separately from the abstract body.

1 first author 1 corresponding author 1 presenting author max 4 co-authors max 2 coordinators
Author 01 First author / presenting author
Author 02 Co-author

3. Structured abstract body

The abstract should be written directly in the form. This improves word control, review consistency and downstream publication export.

Word count 0 / 400
Keywords 0 / 5
Review language English only

4. Ethics, originality and publication declarations

These are not cosmetic fields. They protect review quality, patient safety, originality and the later publication workflow.

5. Submission confirmation and actions

After submission, the record should move from Draft to Submitted, receive a timestamp and become locked except for committee-triggered revision windows.

system checks before submit
  • user is eligible and payment is confirmed
  • word count is 400 or less
  • 3 to 5 keywords are present
  • exactly one corresponding author is selected
  • exactly one presenting author is selected
  • guidelines acknowledgement is checked
record outcome after submit
  • status becomes submitted
  • review package becomes available to admin
  • author receives confirmation email
  • editing is blocked until revision is requested
Current status: Draft Save draft remains available until the submission deadline. Final submit locks the abstract for review.

Flow dupa submit

Aici utilizatorul vede ce urmeaza operational si ce inseamna fiecare status.

Workflow after submission

This is where the participant understands what happens next operationally and what each status means.

Draft Editable record inside the dashboard. Word count, keywords and author-role validation should work before final submit.
Submitted Timestamped and locked for the participant. The system should preserve a review-ready snapshot of the exact submitted version.
Under Review Blind scientific review plus plagiarism screening. Reviewer access should hide author identity while preserving scientific content.
Minor Revision If requested, the user gets a short correction window and uploads a revised version without creating a new abstract record.
Accepted / Rejected Accepted abstracts move forward to final presentation handling. Rejected abstracts remain archived for traceability.
Final Upload Once final format is assigned, the participant uploads the final presentation file from the same dashboard tab or from a linked uploads state.
Officially Presented This flag should be set by staff after the congress session. Only then can publication eligibility be confirmed.

Upload material final dupa acceptare

Final presentation upload after acceptance

This block becomes available only after the abstract is accepted and the committee assigns the final presentation format.

Assigned presentation package

These fields should be partly read-only, because the final format is committee-driven.

This should be visible in the same area so users do not upload the wrong file type.
